PHONE USE POLICY
What is your phone use policy?
To protect the energy, focus, and safety of every HeartCore class, we ask that all clients follow our phone guidelines. Phones should not be used for texting, scrolling, or any form of communication during class. If you must bring your phone into the room, it must be set to Do Not Disturb and placed face down in a location where you will not see notifications light up. Phone calls are not permitted inside the studio room at any time. If an urgent situation arises and you need to take a call, you must step out into the lobby before answering. If you have special circumstances — such as being on-call for work, managing childcare needs, or anticipating an emergency — please inform both our studio coordinator and your instructor before class begins. We are more than happy to work with you. Our goal is to maintain a calm, focused, and distraction-free environment for every client in the room.
FILMING / CONTENT CREATION
Do you film classes?
Yes. HeartCore films select classes for use on our website, Instagram, and our broader online community. By attending class, you acknowledge and agree that HeartCore may capture photos and videos within the studio space, and you release your rights for this content to be used for marketing or promotional purposes.
What if I don’t want to be filmed?
Your comfort is extremely important to us. If you prefer not to be filmed, simply let us know at check-in or email info@theheartcoretx.com prior to class. We will make sure you are placed in a part of the room that is not visible on camera, or we will refrain from filming that class entirely based on your needs.
Can members film inside the studio?
Clients may film their own workout under specific guidelines that ensure a respectful and distraction-free experience for everyone. Filming is only permitted in the back row or back corner of the room, and flash is strictly prohibited. You may not film other clients at any time unless you have received their express permission before class begins. If even one client appears in the background without their consent, filming will not be allowed. Filming must never disrupt the instructor, the flow of class, or the energy within the space. If these guidelines are not honored, you may be asked to stop filming and may lose the privilege of filming in future classes.
WHAT TO WEAR
What should I wear to class?
- For Cycle classes, we recommend wearing breathable, supportive athletic clothing that allows for full movement. SPD clip-in cycling shoes are required for safety and performance; you may bring your own or rent a pair at the studio.
- For Lagree classes, we recommend wearing athletic clothing that allows flexibility and full range of motion. Grip socks are required for all Lagree sessions to ensure proper grip, safety, and machine control. Grip socks are available for purchase in-studio.
- For Body Roll sessions, to protect both your skin and the equipment, no jewelry is allowed except for stud earrings. Clients must wear tight-fitting clothing and must ensure all skin is fully covered, including long sleeves and long pants. This is necessary for hygiene, comfort, and optimal machine function.
AGE REQUIREMENTS
What are the age requirements to take class?
Clients must be at least 15 years old to participate in any HeartCore class, including Lagree, Cycle, and Body Roll. Clients who are 15, 16, or 17 years old must have a parent or legal guardian sign our liability waiver and provide permission for them to attend classes. These requirements help us maintain a safe and properly supervised environment for all participants.
LOCKERS & PERSONAL ITEMS
Do you offer lockers for personal items?
Yes. HeartCore provides complimentary lockers for all clients to store their belongings securely during class. While we offer this convenience, HeartCore is not responsible for lost, damaged, or stolen personal items. We encourage clients to store valuables safely and avoid bringing unnecessary items into the studio room.
SEVERE WEATHER POLICY
What is your severe weather policy?
In the event of severe weather — including heavy storms, flooding, power outages, or unsafe travel conditions — HeartCore may cancel or modify class times to ensure the safety of both clients and staff. If we make changes due to weather, we will notify clients through email, app push notifications, and updates on the schedule within the HeartCore app. If your class is canceled by HeartCore because of weather, your class credit will be fully returned to your account with no fees or penalties.
BOOKING + APP USE
How do I book into class?
The easiest way to book is through the HeartCore App, available on both Apple and Android devices. You may also book via our website by selecting the “Book Now” button located at the top of the page.
When can I book into class?
Booking windows vary depending on your membership or credit type. Single class credits and class packs may book up to one week in advance. One-modality memberships receive a two-week booking window. Signature 8 Pack, Signature Unlimited, and Premium Unlimited members may book classes up to three weeks in advance.
What options do I have for booking a class?
HeartCore offers a wide range of booking options to accommodate your lifestyle and workout preferences. You may purchase single class credits, flexible class packs, focused single-modality memberships (Cycle-only or Lagree-only), or unlimited hybrid memberships that allow full access to all HeartCore modalities.
Can I choose my own spot?
Yes. When you book a class, you may select your preferred spot in the room for both Cycle and Lagree. Your spot is pre-assigned at the time of booking and will be ready for you upon arrival.
How early should I arrive to class?
We ask all first-time clients to arrive at least 15 minutes early so they can become familiar with the studio, meet their instructor, and learn the equipment setup. Returning clients should plan to arrive 10 minutes early to check in, store their belongings, and get settled on their spot before class begins.
WAITLIST
Do you offer waitlists when classes are full?
Yes. If a scheduled class is full, clients may join the waitlist as long as they have an active membership or valid class pack. If a spot becomes available more than one hour before class starts, you will automatically be added into the class and will receive an email confirmation. For early morning classes, we recommend removing yourself from the waitlist the night before if you no longer plan to attend. If you do not get a spot, your credit will be returned to your account for future use.
What is the waitlist cutoff for getting into class?
Clients may be automatically added from the waitlist up to one hour before class begins. After the one-hour cutoff, no additional spots will be filled from the waitlist.
How do I check if I am on the waitlist?
You can check your waitlist status at any time by logging into your HeartCore account and selecting “My Classes.” Your waitlist position will be clearly listed next to the class.
How will I be notified that I got off the waitlist?
Clients must opt in to receive both email and SMS notifications. When you are moved from the waitlist into a class, you will receive an automatic email confirmation. You will also receive a text message reminder one hour before class start time. You may also view your updated schedule by logging into the HeartCore app or website.
Can I put myself on multiple waitlists?
Yes. Clients may add themselves to multiple waitlists as long as they have enough credits or an active membership. If you are added into more than one class, you are responsible for canceling the class you do not plan to attend. We recommend paying close attention to your waitlist positions to avoid being double-booked and incurring a penalty.
What happens if I don’t get off the waitlist?
If you are not added from the waitlist, you will be automatically removed from the class with no penalty. If you used a class credit to join the waitlist, it will be returned to your account for future use.
CANCELLATION + FEES
What is your cancellation policy?
Clients must cancel a class before 7:00 PM the night before their scheduled class in order to avoid any late cancellation fees. This applies to all HeartCore class types.
What fees are incurred for late cancellation?
If you cancel after 7:00 PM the night before class, the following applies:
- Unlimited Memberships: A $15 late cancellation fee will be charged.
- 4, 8, 12 Packs + Class Credit Packs: The class credit will be removed from your account.
What fees are incurred for not showing up to class?
If you do not show up for class and have not canceled, a no-show fee of $25 will be charged.
What is your cancellation policy for privates?
Private sessions must also be canceled before 7:00 PM the night before the appointment. A late cancellation fee of $20 applies to any cancellations after 7:00 PM, and a $35 fee applies to all no-shows for private sessions.
LATE ARRIVALS
What is your policy for showing up late to class?
For safety reasons, first-time clients are not permitted to enter class late. Returning clients have a five-minute grace period for Lagree, Cycle, and Body Roll classes. After this grace period, you will not be able to join the class.
Will I be allowed to take class if I arrive late?
Returning clients may enter class up to five minutes after the scheduled start time. If you know you are running a few minutes late, please call the studio so our coordinator can prepare any rental shoes, grip socks, or water you may need, ensuring you can enter class with minimal disruption.
STUDIO AMENITIES + EQUIPMENT
Do you offer shoe rentals?
Yes. We offer SPD clip-in cycle shoes for rental at $3 plus tax.
Do you sell grip socks?
Yes. Grip socks are required for all Lagree classes and are available for purchase in-studio.
Do I need to bring any equipment for classes?
All equipment is provided by HeartCore. For Cycle classes, SPD-compatible cycling shoes are required. For Lagree classes, grip socks are required. For Body Roll, clients must wear long sleeves, long pants, and no jewelry except small earrings.
Do you offer water?
Yes. Bottled water is available for purchase in-studio. We also have a water bottle filling station. Please bring water into class before it begins to avoid leaving mid-class to refill.
Do you have showers?
Yes. We have two showers for our clients to use.
PRIVATE SESSIONS
Do you offer private rides?
Yes. HeartCore offers 1:1 private Ride sessions. Clients may purchase single sessions, 3-session packs, or 10-session packages through the HeartCore website or app. If you are interested in a private Ride session for two or three people, please email us at info@theheartcoretx.com for availability and pricing.
Do you offer private Lagree sessions?
Yes. HeartCore also offers 1:1 private Lagree sessions, available in single sessions, 3-session packs, or 10-session packages. Duo and trio private Lagree sessions are available by request. Please email info@theheartcoretx.com for more information.
Can I book for a friend?
Yes. Clients may book a friend into class using any class credit on their account. Signature Unlimited and Premium Unlimited members receive one free guest pass per month. Please arrive 10–15 minutes early so your guest can complete their account setup and receive any necessary equipment or instructions.
MEMBERSHIPS + FREEZES + CANCELLATIONS
What if I need to cancel or pause my membership before the duration is over?
Clients may cancel their membership once the minimum commitment period has been fulfilled. Clients may also freeze their membership according to our freeze policy by emailing info@theheartcoretx.com.
What are your freeze rules?
Clients may freeze their membership once every six months for a minimum of 7 days and a maximum of 30 days. To request a freeze, please email info@theheartcoretx.com.
What is the policy for canceling memberships?
Clients may cancel their membership at any time after completing their minimum commitment period. Cancellation requests must be submitted via email to info@theheartcoretx.com.
CLASS PACKS + REFUNDS
What is the expiration of class packs?
Class packs have the following expiration periods:
• 5-Class Pack expires 3 months after purchase.
• 10-Class Pack expires 6 months after purchase.
• 20-Class Pack expires 1 year after purchase.
What is the merchandise return policy?
All merchandise sales are final and non-returnable.
What is the refund policy for memberships/packs?
All sales for class packs and memberships are final. For example, if you purchase a 3-month unlimited membership, you are contracted to pay for the full 3-month term. Exceptions may be made for documented medical emergencies that prevent continued participation. Medical documentation will be required for any exception request.
